1. Introduction

Mayline LLC ("Mayline," "we," "us," or "our") operates the Mayline platform at mayline.app. This Privacy Policy explains how we collect, use, disclose, and protect information about you when you use our Service.

By using the Service, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

2.1 Account Information. When you create an account, we collect your name, email address, firm name, and password (stored as a secure hash). If you sign in via Microsoft or Google OAuth, we receive your name and email from that provider.

2.2 Billing Information. Payment processing is handled by Stripe. Mayline does not store your full credit card number, expiration date, or CVV. We receive and store a payment method token, last four digits, and billing status from Stripe.

2.3 Firm Data. We store the content you enter into the Service, including projects, specifications, schedules, team information, and other professional data ("Firm Data"). You own this data.

2.4 Usage Information. We may collect information about how you use the Service, including pages visited, features used, and actions taken. This helps us improve the Service.

2.5 Technical Information. We automatically collect certain technical information when you use the Service, including IP address, browser type, operating system, and device information. IP addresses used for rate limiting are stored in hashed form only.

2.6 Communications. If you contact us, we retain the content of your communications to respond to you and improve our support.

3. How We Use Your Information

We use the information we collect to:

• Provide, operate, and maintain the Service
• Process transactions and manage your subscription
• Send transactional emails (account verification, password reset, billing receipts, trial notifications)
• Respond to your questions and support requests
• Enforce our Terms of Service
• Protect against fraudulent or unauthorized use
• Improve and develop the Service
• Comply with legal obligations

We do not sell your personal information to third parties. We do not use your Firm Data to train machine learning models or for any purpose other than providing the Service.

4. Analytics

Mayline does not currently use third-party analytics tools. If we introduce analytics in the future, we will update this Privacy Policy and notify users in advance.

5. Third-Party Services

Mayline uses the following third-party services that may process your information:

6. Data Retention

We retain your account information and Firm Data for as long as your account is active. If you cancel your subscription or your account is terminated:

• Your data is retained for 90 days following termination
• After 90 days, your data may be permanently deleted
• You are responsible for exporting any data you wish to keep before termination

Billing records may be retained longer as required by applicable law.

7. Data Security

We implement reasonable technical and organizational measures to protect your information, including:

• Encrypted data transmission (HTTPS/TLS)
• Secure password hashing (bcrypt)
• Authentication tokens stored as cryptographic hashes
• Database access controls and regular backups

No method of transmission or storage is 100% secure. We cannot guarantee absolute security, but we are committed to protecting your information using industry-standard practices.

8. Your Rights and Choices

Depending on your location, you may have certain rights regarding your personal information:

Access. You may request a copy of the personal information we hold about you.

Correction. You may update your account information at any time through your account settings.

Deletion. You may request deletion of your personal information by contacting hello@mayline.app. Note that some information may be retained as required by law or for legitimate business purposes.

Data Portability. You may export your Firm Data from the Service at any time.

Opt-out of Communications. You may opt out of non-essential communications by contacting us. Transactional emails (verification, password reset, billing) cannot be opted out of while your account is active.

9. International Users

Mayline is operated from the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States. By using the Service, you consent to this transfer.

10. Children's Privacy

The Service is not directed to individuals under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected such information, we will delete it promptly.

11. Cookies

Mayline uses a session cookie (app_session_id) to maintain your authenticated session. This is a functional cookie required for the Service to operate. It does not track you across other websites.

We do not currently use advertising, analytics, or tracking cookies. If this changes, we will update this policy and provide appropriate notice and controls.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the Service at least 14 days before the changes take effect. Your continued use of the Service after the effective date constitutes acceptance of the updated policy.
